Cancellation policy

US Trip Cancellation Policy

A 50% deposit is required to reserve your spot on a trip. The remaining balance is due 90 days prior to departure. For bookings made within 90 days of departure, full payment is required at the time of booking.

Each reservation includes a $200 per-person registration fee built into the trip cost, which is non-refundable.

If you need to cancel, the following options apply based on when we receive written notice:

  • Refund of all payments minus the $200 registration fee, or
  • Full trip credit (100% of trip cost) toward a future trip
60 days before departure
  • Refund of 70% of trip cost minus the $200 registration fee, or
  • Full trip credit (100%) minus the registration fee
30 days before departure
  • Trip credit equal to 50% of trip cost minus the registration fee
14 days before departure
  • No refund or credit
Trip Cancellations by Climb Hunt Hike

If we cancel a trip for any reason, participants will receive a full refund, including the $200 registration fee, within 30 days.

Important notes
  • Cancellation choices may only be used once and cannot be changed later.
  • Trip credits are non-transferable and apply only to the original participant.
  • If a trip credit is selected and later canceled, no refund will be issued.

International Trip Cancellation Policy

To reserve your place on an international trip, a 50% deposit is required at the time of booking. The remaining balance is due 90 days prior to departure. Bookings made within 90 days of departure require full payment at the time of booking.

Each reservation includes a $300 application and administrative fee built into the trip cost, which is non-refundable.

Cancellation timing is based on the number of days prior to the scheduled trip start date:

  • Refund: 50% of total trip cost, minus the application fee
  • OR Credit: 70% of trip payments, minus the application fee, applied toward a future Climb Hunt Hike trip
30 days before departure
  • No refund or credit available
Trip Cancellations by Climb Hunt Hike

If Climb Hunt Hike cancels a trip for any reason, guests will receive a full refund of all payments made, including the $300 application fee.

Travel Protection & Trip Cancellation Policy

Due to the financial investment and inherent risks associated with expeditionary and mountain travel, travel insurance is strongly recommended and, for some trips, required. Travel protection helps safeguard you and your trip investment against unforeseen circumstances such as illness, injury, weather delays, or emergency evacuation.

Recommended Coverage

Your travel insurance policy should, at minimum, include coverage for:

  • Trip cancellation and trip interruption
  • Emergency medical expenses
  • Emergency evacuation and repatriation
  • Travel delay and baggage loss or delay

Because our trips may involve mountaineering, trekking, climbing, hunting and firearms (eg. if on a hunting trip), and travel at elevation, participants are responsible for ensuring that their chosen policy explicitly covers their planned activities. Many standard travel insurance policies exclude adventure activities or restrict coverage based on elevation, equipment (such as crampons or ice axes), or geographic region.

We strongly encourage participants to:
  • Read the full policy details and exclusions carefully
  • Confirm that their activity is listed as an eligible covered activity
  • Verify that the policy is available in their state of residence
  • Contact the insurance provider directly with any questions prior to purchase

Adventure-focused policies such as Ripcord or Global Rescue are particularly well-suited for international or remote trips, as they offer field rescue, evacuation from the point of injury or illness, and global security support. Some providers also offer Cancel For Any Reason (CFAR) options and pre-existing condition waivers if purchased shortly after your initial trip deposit.

Why we have a cancellation policy

Our cancellation policy helps protect our guides and staff, who commit to scheduled work months in advance and may incur travel and planning costs. Retained trip fees and registration fees help cover guide compensation, administrative work, and re-booking expenses when cancellations occur. We appreciate your understanding and support of our small business.
